AgriVision Farm Management

Office Manager

Supervisor: Senior Accounts Payable

Work Schedule:  Full-time/Salary/Exempt

 

Summary:  The Office Manager shall provide high-level administrative support to the Chief Executive Officer and Executive Team Members and oversee all office management duties of the AgriVision office, while also assisting the accounting team with light duties and supporting members of the AgriVision staff.

 

Critical Functions:

 

Administrative Duties

  • Manage AgriVision staff calendar.
  • Coordinates and schedules meetings, conferences, and other events.
  • Compiles and assembles materials for meetings, presentations, and trainings.
  • Assists with other administrative tasks as requested.

 

Office Manager Duties

(Daily)

  • Greet team members, vendors, and solicitors upon arrival.
  • Answers telephones and handle inquiries.
  • Sort, timestamp, prep, and distribute (via hard copy or electronic) incoming and outgoing mail and packages.
  • Perform general administrative duties including filing, typing, faxing, copying, scanning, electronic filing, and mailing.
  • Keep the office clean and tidy in all common areas and front entry.

 

(Recurring)

  • Keep the kitchen and bathrooms fully stocked with supplies.
  • Provide reminders for all upcoming events/meetings/etc.
  • Organize lunch/dinner events and meetings when requested.
  • Maintain inventory and ordering of office supplies.
  • Manage the Outlook Staff Contact Lists
  • Coordinate appointments with vendors (alarms, exterminator, etc.)
  • Liaison with IT vendor on networking, IT issues and equipment setup.

 

Accounting & Finance Duties

  • Manage business accounts / statements (FedEx and AT&T)
  • Tracking and filing of voided checks.
  • Match invoices and statements as received.
  • Monthly review and clearing of all invoice and receipt files.
  • Provide back-up to internal invoices, HT, Dairies, Farm
  • Review and organize all scale tickets.
    • Enter sand, and fuel tickets.
    • Enter internal commodity, TMR, pushdown, and cattle movements.
    • Sort and distribute commodities and hay tickets to respective AP personnel or vendors.
  • Other duties as assigned.

 

Education:

  • Minimum – High School Diploma or GED.
  • Preferred – bachelor’s degree in business or a related field

 

Experience:

  • 1-3 years administrative/office management experience

 

Knowledge/Skills/Abilities

  • Basic knowledge of the agriculture industry
  • Bilingual – preferred
  • Ability to multi-task while maintaining careful attention to detail.
  • Ability to work effectively both individually and within a team environment.
  • Ability to handle a large of amount of confidential information and maintain confidentiality.
  • Ability to work with a sense of urgency to meet deadlines and address competing priorities.
  • Proficient skills with Microsoft Office software including Word, Excel, PowerPoint, and Outlook
  • Effective written, listening, and verbal communication skills
  • Effective problem solving and organizational skills.
